Privacy Policy
Last updated: September 20, 2026
1. Introduction
This Privacy Policy explains how Quota collects, uses, and shares information when you visit the website, create an account, or use the Service.
It applies to account holders and visitors. It does not replace the privacy practices of your own business toward your customers. If you enter a customer’s information into Quota, you are responsible for having a lawful basis to do so.
By using the Service, you acknowledge this Policy. If you do not agree, do not use the Service.
2. Information We Collect
We collect information in the following categories.
Account information. When you register, we collect your first name, last name, company name, email address, and password. Passwords are handled by our authentication provider and are not stored by Quota in plain text. We also store subscription and trial status associated with your account.
Information you enter. You may enter company profile details, logos, default quote wording, labour people and rates, customer names and contact details, job addresses, project descriptions, line items, pricing, markup, quote language, project cost codes, weekly labour hours, and job expenses. You may also generate quote drafts from templates.
Usage and device information. We may collect technical information such as browser type, pages viewed, referring URL, approximate location derived from IP address, and general product usage. In production, we use Vercel Analytics for this purpose. Vercel Analytics is designed to measure traffic without advertising cookies.
Cookies and similar technologies. We use cookies and local storage as described in the Cookie Policy. These include authentication cookies needed to keep you signed in, a short-lived preference cookie for sidebar state, and local storage for a signed-in copy of your account data and notice preferences.
Communications. If you contact us, we receive the information you send, such as your email address and message. Creating an account may send you a confirmation email so you can verify the address.
We do not currently send marketing newsletters, and Quota does not email quotes to your customers. You share a client link or PDF yourself.
3. How We Use Information
We use information to:
- Create and authenticate your account
- Provide quoting, customer, project tracking, dashboard, and PDF features
- Track trial and subscription status
- Maintain security and prevent abuse
- Understand how the Service is used and improve it
- Respond to support and legal requests
- Comply with law
We do not sell your personal information. We do not use your quotes or customer list to advertise other companies’ products to those customers.
5. Where Information Is Stored
Account credentials, profile fields, quotes, customers, projects, company settings, and subscription status are stored with our infrastructure providers. Those providers may process data in Canada, the United States, and other countries where they operate.
Those records are saved to your Quota account and load when you sign in. A copy may also stay in this browser so the app can open quickly. Clearing site data on one device does not delete the copy stored in your account. Anyone signed in to the account can view that account’s quotes, customers, and projects.
You should treat the account as you would any place that holds customer and pricing information.
6. Retention
We keep account, quote, customer, project, settings, and subscription information while your account is active and as needed for security, billing records, and legal obligations.
A browser may keep a local copy until you clear site data. Deleting a record in Quota removes it from the account.
Analytics data is kept in aggregated or de-identified form according to our analytics provider’s retention practices.
If you request account deletion, we will delete or de-identify account records we control, including quotes, customers, and projects, except information we must keep for legal, security, or accounting reasons. A leftover copy in a browser is removed when that device’s site data is cleared.
7. Your Choices and Rights
You can update company profile details in Settings. You can edit or delete individual quotes, customers, and projects in the product.
Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. To make a request, use the Contact page and describe what you need. We may need to verify that the request comes from the account holder.
Self-serve account deletion is not enabled yet. We will handle deletion requests through Contact.
You can dismiss the cookie notice, and you can control cookies through your browser. See the Cookie Policy.
You may opt out of some production analytics by using browser tools or extensions that block analytics scripts. Essential authentication cookies are required to stay signed in.
8. Children
The Service is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has created an account, contact us and we will take appropriate steps to delete it.
9. Changes
We may update this Privacy Policy as the Service changes. We will revise the “Last updated” date at the top of this page. Material changes will be posted here, and we may provide additional notice when appropriate. Continued use of the Service after an update means you accept the revised Policy.
10. Contact
Privacy questions and requests can be sent through the Contact page on the Quota website.
